What This Role Is… 

As a Junior Executive Assistant, the primary function of this position is to serve as key support to the Executive Director & Executive Assistant. Junior Executive Assistant will be managing day to day operations, coordinating schedules, and overseeing various specialists and vendors. Your contributions will ensure the success of the Administration department at CITY Furniture. 

 

Position Title: Junior Executive Assistant 

Reports To:      Executive Assistant to the CEO 

Location:          On-site and locally around South Florida; primarily Tamarac Corporate Offices 

Department/Sub-Department: Administration/ Admin Assistance 

Hourly Pay Range: $24 - $32 (DOE)

 

What You'll Do... 

As a Junior Executive Assistant, your primary responsibilities will be: 

Working Closely with the Executive Director   

  • Required to have good communication, planning and teamwork skills to help the Executive Director with all relevant tasks 
  • Weekly planning meetings will be scheduled to ensure both are on the same page for the upcoming week, month & year 
  • Keeping Standard Work Procedures updated, ensuring everything is documented on how to maintain and run the house 
  • Working closely with the Executive Assistant to the CEO to ensure proper personal & work alignment 

Calendar & Event Planning  

  • 12 Month calendar planning focus aligned with CEO Calendar 
  • Planning, scheduling & managing events, activities, parties & dinners 

Managing Budget & Expenses   

  • Managing financial expenses - ex. budgeting, planning, paying and managing bills, making approved purchases, checking costs to ensure accuracy 
  • Working with the Accountant and the CEO's EA to ensure everything is up to standard, prepared for annual taxes, etc. 
  • Negotiating and trying to drive cost savings with vendors, event planning, eliminating wasteful subscriptions, finding new better-quality vendors 
  • Managing and organizing donations and tax receipts for various Charities 
  •  Planning philanthropic giving

 

Additional duties and responsibilities as a Junior Executive Assistant:

Managing Travel & Transportation  

  • Trip preparation & planning - ex. booking hotels, flights, travel, dinner reservations 
  • Travel packing, sending clothes and luggage in advance, etc. 
  • Managing transportation when needed 
  • Creating trip itineraries for travel 

Vendor Management  

  • Responsibilities include - hiring, managing, directing, coaching, training, compensating, rewarding, communicating, improving, checking, and inspecting Vendor work 
  • Outside Vendors - as needed basis 

Organization & Health  

  • Planning & maintaining organization strategies 
  • Keeping the fridge, pantry & office stocked with all proper food, drinks, snacks, healthy food, supplies, etc. 
  • Adheres to all assigned Standard Work and Role and Responsibilities for your role.

What's Required... 

Education & Work Experience: 

  • Bachelor's degree in a relevant field, such as business administration, preferred 
  • 1-3 years of experience as an Executive Assistant, Administrative Assistant, or Personal Assistant. 
  • Relevant work experience in an administrative role 
  • Experience in assisting executives, managing schedules, and coordinating meetings 

Work Environment & Schedule: 

  • Primarily Monday through Friday, 9AM to 5PM 
  • Some nights, weekends, and attending some trips, if interested 
  • Full-time, avg. 40-hour work-week (options to work less or more, with adjusted compensation) 
  • Mobile work location with home office at Tamarac Showroom 
  • Ability to drive personal vehicle to complete tasks (with mileage reimbursement) 
  • 25% of Travel 

Physical Requirements: 

  • Occasional lifting and moving of products up to 25 pounds 
  • Prolonged periods of standing, walking, and computer use 

Technology Requirements: 

  • Proficiency in Microsoft Office Programs (i.e. Excel, Word, and Outlook, etc.) 
  • Google Suite (i.e. Docs, Sheets, Slides, etc.)  
  • Willingness to explore new tech tools. 

Certifications / Licenses: 

  • Valid Florida Driver's license required
